Executive Summary
As enterprise workforces increasingly operate across distributed locations, the demand for high-quality, easy-to-manage hybrid collaboration infrastructure has never been greater. Large-format spaces such as townhalls present a unique challenge: they must deliver broadcast-quality audio and video for 150+ seated participants, while remaining intuitive enough for non-technical users to operate without specialist support.
This whitepaper details how MM9 Information Technologies designed and deployed a BYOD-based Kramer AV ecosystem for a Leading Global Insurance Technology Company at their Nagpur, India facility. The solution - covering a 150-seat hybrid townhall space - integrates 4K PTZ cameras, acoustic echo-cancelling DSP audio, a Samsung 85" commercial display, Sennheiser wireless microphones and antennas, and a custom-developed iPad control GUI. The entire engagement -from solution design, technology selection and its implementation through passive infrastructure, civil & electrical works, and final commissioning -was executed end-to-end by MM9.
The Industry Challenge: Hybrid Collaboration at Scale
The shift to hybrid work has fundamentally changed how enterprises use large-format spaces. Townhall sessions, once conducted exclusively in person, now need to serve simultaneous in-room and remote audiences -often across multiple offices and time zones.
For organisations with pan-India operations, this creates a specific set of infrastructure requirements that generic conference room solutions fail to address:
- Uniform audio intelligibility across a large, reverberant space
- Multi-camera coverage for both presenter and audience perspectives
- Platform-agnostic conferencing -staff across offices use different VC tools
- Minimal operational dependency -sessions cannot rely on dedicated AV operators
- Total cost of ownership must be balanced against enterprise-grade experience
Client Requirement
The client - a US-headquartered InsurTech company with global operations - required a turnkey hybrid collaboration setup for their Nagpur facility's primary townhall space. The solution needed to fulfil the following criteria:
- Seamless and reliable hybrid townhall capability for sessions involving participants across multiple India offices
- Simple operation for non-technical users - no dedicated AV operator required
- Compatibility with all major enterprise conferencing platforms: Microsoft Teams, Zoom, Google Meet, and Webex
- Consistent, high-quality audio and video across the full 150-seat space
- Centralized AV control with minimal operational complexity
- Complete scope ownership from a single vendor - including AV solution design and implementation, passive infrastructure, electrical, and civil works
The MM9 Solution: A BYOD Kramer AV Ecosystem
MM9 designed and deployed a BYOD-based AV collaboration ecosystem anchored on the Kramer product portfolio, engineered specifically to meet the client's usability, quality, and budget parameters. The solution allows presenters to connect directly from their laptops via a Kramer KDock-5 USB-C hub.
Video
Two Kramer K-Cam4K 4K PTZ cameras -one focused on the presenter/stage area, one covering the audience - deliver full visual coverage of the townhall space. Each camera supports 255 programmable presets, enabling preset-based camera switching from the control GUI without manual repositioning. Video signals are transported over HDBaseT (Kramer TP-583T/R) to the central AV rack, processed through a Kramer VP-427X ProScale Receiver/Scaler, and switched via the Kramer SWT3-31-HU 4K USB-C/HDMI switcher.
Audio
The audio chain is built around the Kramer DSP-62-AEC -a 6x2 audio matrix switcher with onboard Acoustic Echo Cancellation (AEC). AEC is critical in large hybrid spaces: it eliminates the feedback loop between room speakers and microphones that would otherwise degrade remote participant audio quality. Two Sennheiser EW-D 835-S digital wireless handheld microphone sets with directional antennae provide flexible presenter mobility. Eight Kramer Dolev 8 100W wall-mount speakers, distributed across the 150-seat area, deliver consistent, high-SPL audio coverage throughout the space.
Control - Custom MM9 GUI
MM9 developed a custom control GUI deployed on an Apple iPad via the Kramer SL-280C master room controller. The interface provides presenters and hosts with one-touch control over camera presets (stage and audience views), display power, microphone and laptop audio levels, and full system standby - all without requiring any AV expertise. The GUI was purpose-designed by MM9's AV team to match the client's operational workflow.
Passive Infrastructure & Civil Works
MM9 managed the complete passive infrastructure scope, including 50 metres of raceway installation, conduit routing for AV and power cables, speaker cable distribution to all eight wall-mount locations, and HDMI/USB wall plate installation. The AV rack-housing all active equipment - was installed in the server room, with power and HDMI routed through the wall to the presentation area. All civil and electrical works were coordinated and executed by MM9.

Why MM9 for Enterprise AV
MM9's AV Conferencing practice is built on a single principle: technology should work for people, not the other way around. Every deployment - from single boardrooms to multi-space campuses - is approached with the same discipline: understand the operational workflow, design for usability, and deliver with accountability.
This engagement reflects MM9's ability to take ownership of the complete project scope - AV design, product selection, custom GUI development, passive works, project management, and commissioning - under a single contract. For the client, this eliminated the coordination risk of managing multiple vendors across a technically complex deployment.
